Volunteer Policy 2011EVHA Volunteer Policy
The Policy: EHVA is a volunteer based hockey organization that has been very successful due to the many volunteer hours contributed by members in the past seasons. To continue the growth and success of the association, a volunteer policy is in place which requires families of EVHA to contribute 5 hours per player (family maximum of 10 hrs) annually. Volunteer Deposit: To ensure fairness to all families a volunteer deposit of $125.00 per player and a $250.00 maximum per family is collected at registration. The deposit will be applied to your final ice payment provided the volunteer commitment is completed. Refund checks for the parent(s) of Mite players are mailed out at the end of the hockey season. The deposit is forfeited if the volunteer hours are not fully completed. Partial refunds are not allowed. No player will be allowed to tryout or be assigned to a team unless the volunteer deposit has been made. Failure to show up or find a replacement for your shift will result in a $25.00 penalty fee being charged to your account. The penalty fees also applies if you sign up for more shifts that required but fail to show up once the required hours are met, as the EVHA is depending on all the members to fulfill the shifts they have signed up for. Volunteer Profiles: Each family of EVHA is required to create a volunteer profile to sign up and receive credit for the volunteer shifts worked. One profile per family please! In families with multiple last names, please create one profile all family members will use. To create your profile access, go to the EVHA website and follow the instructions under the ‘Volunteer System’ found on the left hand sidebar of the home page. It is your responsibility to sign up online for all shifts to receive credit. Team Obligations: As a members of EVHA, each family will also be assigned certain volunteer jobs. These jobs include scorekeeping, timekeeping, penalty box, and other obligations that are essential for the operation of your team. These hours do not count as part of the required 5 hrs/player. In addition your team may receive specific volunteer responsibilities assigned by EVHA that must be fulfilled by the team. These jobs may include volunteering at District playoffs, regional or state championships, tournament or concession shifts and other tasks that may arise throughout the season. These hours are the team’s responsibility and must be fulfilled. How the hours are filled is at the discretion of each team,but they must be filled even if all families have completed their volunteer obligation. These hours can be used to meet your volunteer obligation. Concessions: To receive credit for volunteer hours which are assigned through your team, you need to sign the EVHA volunteer sheet found in the concession. There is also a sheet for the AVHA – please sign the correct sheet legibly. Concession hours are updated monthly and are reflected as a reduction in your volunteer obligation. If your family is required to fulfill 10 hours and you worked 4 concession hours the volunteer obligation on your profile is adjusted to 6 hours to offset the 4 hours of concessions worked. It is very important that the concession be open 20 minutes prior to the game and 20 minutes following the game. Please make sure the concession stand is open during this period.
Policy Exemptions: Within the EVHA there are certain jobs that require a significant volunteer commitment throughout the hockey season. The individuals filling these roles are automatically granted their required volunteer hours as the time they contribute far exceed the 5 hours per player. These positions are; · EVHA Board members · 1 head coach for each Mite team · 1 assistant coach for each Mite team · 1 head coach for Squirt through Jr. Gold teams · 2 designated assistant coaches for Squirt through Jr. Gold teams · 1 team manager per team · Board appointments such as equipment coordinator, tournament committee and others as specified by the EVHA board. Other: In all the activities that our family members participate in, there are numerous things we just do to help out. In hockey, these things tend to be things such as assisting the coaches on the ice during practices, planning team fundraising or special events, keeping statistics for the coach, stepping in to fill someone’s role while they are away or ill. While this involvement is critical for the team to function and most appreciated by the EVHA, it does not fall under the Volunteer Policy and will not be counted toward your volunteer obligation. Volunteering is a great way to meet many people in the association and you will probably have some fun while you are there!
